The single biggest reason a first quote comes back inaccurate isn’t the supplier — it’s missing information. Here’s what to have ready before you send an inquiry.
1. Target quantity per SKU
Pricing tiers usually shift at 3,000 / 5,000 / 10,000+ units. Knowing your realistic order size upfront avoids back-and-forth on quotes that don’t apply to you.
2. Steel grade and finish
If you already know you want 18/10 mirror polish or PVD matte black, say so. If you’re not sure, describe your price target and use case instead — a manufacturer can recommend a grade from there.
3. Customization needs
Logo engraving, custom handle molds, private-label packaging — each of these affects both price and lead time, sometimes significantly. Flag anything beyond a standard catalog item early.
4. Delivery destination and Incoterm
FOB, CIF, or DDP pricing can vary substantially. Knowing your destination port (or country, at minimum) lets a supplier quote shipping accurately instead of guessing.
5. Target delivery date
Standard lead times run 25–35 days after deposit for most flatware orders, plus shipping transit time. If you have a hard deadline, mention it in your first message.
6. Sample requirements
Most B2B buyers request samples before committing to a bulk order. Ask about sample cost and turnaround time upfront so it doesn’t become a surprise later in the process.
